Importing Volunteer Data to INVOLVE

You can upload files in CSV format with a maximum file size of 500MB, as long as your file meets our Terms of Service.

  • Select My volunteers on the left hand side menu
  • Click on the Import option
  • Click Browse and then choose the file you want to upload
  • Select the fields you want to match to your data
  • Click on Continue


You can import the following volunteer data: 

  • Your volunteer reference ID  
  • First name 
  • Last name 
  • Gender 
  • Email address
  • Preferred name 
  • Phone number 
  • Year of birth 
  • Address 
  • Medical conditions 
  • Emergency contact name
  • Emergency contact relationship 
  • Emergency contact number 
  • Tags 

 

When importing volunteer data to INVOLVE from another system, such as VIRA, you need to make sure the field names match. In the Match custom data box that comes up when doing an import, you can see field names and sample data on the left. You need to make sure you don’t import any field twice as you can only match each type of data to one matching field.

 

Useful tips to remember when importing a file you have exported from another system such as VIRA are:

  • Match the ID data on your import to the Volunteer reference ID field so you can import any internal reference ID you already have for your volunteers
  • Make sure you select the matching field Phone number for the very last list of telephone numbers if you have used our macro to extract telephone numbers from your VIRA CSV file, rather than what is listed in the Phones section 
  • Only select Email or Secondary email for matching field Email address 
  • Only select the matching field Emergency contact number once. If importing data from a VIRA CSV file you will need to choose between Emergency Contact Phone or Emergency Contact Mobile. 
  • Select Do not import for any data you don’t want to match to
